Returned Mail

This is where any mail that failed to reach the destination is logged. Whether it’s because of the address or the delivery.

Filter and Search Options

 Various filter fields that can be seen at the top of the page to limit the report:

  1. Deadline From: Set a start date for the initial delivery deadline.
  2. Deadline To: Set an end date for the initial delivery deadline.
  3. Branch: Choose Branch to filter the starting branch from the dropdown list.
  4. Recipient: Choose Recipient to filter the destination recipient from dropdown.
  5. Reset Filters: A reset button to erase any filter criteria applied.
  6. Search: A button to use the entered filter criteria.

Returned Mail Log Table

The table shows a list of returned mail items according to any filters applied. The columns contain important information:

  • Case Number: The case number of the mail.
  • Mail Carrier: The mail service utilized (e.g., FedEx, USPS, Certified Mail).
  • Branch: The originating branch for the mail (e.g., Bangalore, Ahmadabad, branch).
  • Mail Medium: The medium of the mail (e.g., Electronic, Postal).
  • Received Date: The date the mail was originally received for sending.
  • Notified User: The user who was notified about the returned mail.
  • Recipient: The intended recipient.
  • Deadline To Respond: The original deadline for response, if any.
  • Mail Out Date: The date the mail was originally sent out.
  • Status: The status of the returned mail at present (e.g., Overdue, Completed).

Download Report

Users can export outgoing mail records in PDF or Excel format for tracking, auditing, or recordkeeping.

To download the report:

  1. Go to the Audit section via the side navigation.
  2. Click on Mail, then select Returned Mail.
  3. Apply any necessary filters.
  4. Click the Download Report
