Incoming Mail

This module holds all the mail that has come to the firm. It enables the team to monitor documents or letters from clients, agencies, or any other third parties. Users are easily able to identify what has arrived and get it reviewed and adequately linked to the correct case. It assists users in monitoring physical and electronic mail effectively so that no communication gets lost.

Filter and Search Options

 Various filter fields atop this page to limit the list of incoming mail:

  • Case Number: A field to type a case number to filter mail relating to a particular case.
  • From: Enter a start date for when the mail was received.
  • To: Enter an end date for when the mail was received.
  • Branch: Choose Branch to filter the mails received at a given branch from dropdown.
  • Incoming Mail Type: Choose Incoming Mail Type (i.e., Certified Mail, Regular Mail, Electronic) from dropdown.
  • Review Link Sent: A checkbox for filtering mail for which a review link has been sent.
  • Returned Mail: A checkbox for filtering returned mail.
  • Reset Filters: A button for deleting any filter criteria applied.
  • Search: A button to apply the filter criteria entered.

 

Incoming Mail Log Table

The table shows a list of records for incoming mail filtered by any filters that have been applied. The columns show the important information about each mail item:

 

  • Case Number: The case number of the incoming mail.
  • Mail Carrier: The mail carrier utilized (e.g., USPS, Certified Mail, Regular Mail, UPS).
  • Mail Number: The tracking or reference number for the mail item.
  • Tracking Number: A more detailed tracking number.
  • Mail Medium: The medium of the mail (e.g., Electronic, Postal).
  • Date Received: The receipt date of the mail.
  • Receiver: The user who has received the mail.
  • Branch: The branch of reception of the mail.
  • Deadline To Respond: Response deadline to the mail, if any.
  • Description: Short description of mail content.
  • Notified User: The user who is alerted regarding the incoming mail.
  • Review Link Sent: Whether a review link for the mail was sent (Yes/No).

Users can download the report in PDF or Excel format for auditing, analysis, or internal record-keeping purposes.

To download the report:

  1. Click on Audit under the side navigation menu.
  2. Select Events.
  3. Click on the Prior Appearances tab.

 Click the Download Report button to export the report in your desired format (PDF or Excel).
